Summary of Position

•    Provide general and technical support to the Talent Acquisition team: manage postings; review applications and resumes; track applicants and update system(s).
•    Ensure that the Talent Acquisition team has the information, resources, systems, and support needed to effectively locate, attract, screen, qualify, interview, hire, and onboard qualified candidates for all types and levels of positions.
•    Serve as backup to other team members as needed.


Principal Accountabilities

•    Provide support to the Talent Acquisition team with managing internal and external job postings: create and maintain requisitions in applicant tracking system; post positions on the internal and external portals; manage all requisition folders in the ATS; create all requisitions for temp positions and post positions to the agency portal; actively participate in the selection process for non-exempt/exempt positions.
•    Ensure appropriate approvals are in place and collaborate with recruiters in hiring process to ensure best qualified applicants are selected.  Review resumes and move applicant requisition to appropriate statuses: testing, final disposition, background, onboarding, and closing.
•    Perform research to identify candidates across multiple disciplines utilizing the latest internet sourcing techniques;
determine key search criteria deciphered from job descriptions and create effective search strings; organize and present potential candidate resumes to the appropriate recruiter
•    Conduct phone screen interviews; Pre-Employment background screens; initiate, review and adjudicate reports; process I-9s and handle all reverifications; onboard new hires.    
•    Serve as system administrator for Talent Acquisition Tracking System: ensure full access to all recruiters and their requisitions; and as subject matter expert for newly approved positons; record, track and assign positions to recruiters
•    Update and/or edit job requisition data as necessary to ensure accurate source data for reporting.
•    Run weekly position activity report showing all open jobs; update status of each
•    Responsible for the onboarding and background dashboards; ensure all processing is completed within deadlines.       
•    May serve as point person for position approving committee(s) – handle requests and obtain necessary documents for the leaders.
•    Follow up with all candidates to obtain any needed information; ensure that any onboarding issues are resolved in a compliant manner; liaise with vendor(s) as needed; escalate appropriate issues to the Director and Legal.  
•    Ensure that any compliance issues are reviewed with recruiters, and/or Director for conflict of interest issues, flagging for follow up on disability notifications, etc.    
•    Perform backup recruitment function(s): fill in for recruiters; perform searches; review applications/resumes
•    Work with vendor(s) to locate and hire temporary workers.    
•    Contribute to/participate in process improvements and implementations; perform system testing/implementation
•    Coordinate and attend Career Fairs with recruiters and serve as a liaison with college career centers
•    Prepare all offer letters including new hire packages, internal letters, recruiting team meeting agenda & minutes    

 

Qualifications

• BS or BA degree

• Additional HR - related coursework and/or certification

•  2 - 3 years of relevant experience in Human Resources.

•  Experience in supporting the Recruiting (Talent Acquisition) function for a large division, department, or company-wide.

•  Additional years of related experience may be considered in lieu of degree requirement.

•  Working knowledge of talent acquisition principles, techniques, systems, and resources.

•  Proficiency with MS Office (word processing, spreadsheet/database, presentation, e-mail)

•  Strong communication skills (verbal, written, presentation, interpersonal).

•  Ability to maintain a calm, professional demeanor, confidentiality, and to effectively complete multiple tasks/projects with competing priority levels and deadlines
