Purpose: To provide administrative support and manage day-to-day activities for the executive team member, his/her team and to work closely with other executive leaders and their key staff.  S/he will handle details of a highly confidential and critical nature and must function efficiently and effectively in a fast-paced professional environment.

  • Manages calendar and schedules meetings for the executive.  Ensures executive is prepared with required information for meetings and keeps to his/her schedule.
  • Manages all correspondence and communication that comes into the executive’s office, apprises executive on nature/priority of each item, and coordinates responses.  S/he will have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines.
  • Coordinates agendas, prepares/distributes materials for meetings, and follows up on outstanding items.  Attends meetings and takes minutes, as needed.
  • Oversees and participates in the planning of events both on site and off site.
  • Follows up on items that require immediate attention and sees through to completion.  Will be expected to provide continuous support in tandem with the executive’s daily schedule and obligations.  Works with business leaders to resolve urgent issues directed to the executive’s office.
  • Anticipates potential problems that could impact the department and coordinates solutions.
  • Applies substantial knowledge in the coordination of sensitive reports and analyses (e.g. budgets, board materials, and highly confidential correspondence).
  • Prepares correspondence, memos, reports and presentations with consistent accuracy.    
  • Participates in cross-functional teams and/or committees.  Works collaboratively with other departments, as needed. 
  • Mentors and trains administrative assistants and other clerical staff within executive’s divisional responsibility.
  • Answers, screens, directs, prioritizes and responds to all incoming calls and visitors.
  • Coordinates travel arrangements for executive.  
  • Performs other related duties and special projects as assigned.

  • Business School or College Degree preferred or equivalent combination of training and experience.
  • At least 7 years’ experience in an Administrative support function with at least 3 years’ experience supporting Executives and/or Senior Management.
  • High proficiency in 2010 (or higher) Microsoft Office applications (Excel, Word, PowerPoint, Visio and Outlook).  Excellent typing, word-processing skills (minimum 60 WPM).
  • Excellent command of the English grammar.  Pleasant and professional telephone manner. Ability to discern and communicate with the highest level of tact and diplomacy, both verbally and in writing to members of the Board of Directors, the Steering Committees, industry and government officials, analysts, ConnectiCare clients and staff at all levels of the organization. 
  • Top-level detail, organizational, analytical and editorial/proofreading skills required.
  • Experience recording and preparing meeting minutes.
  • Proven ability to work independently and make sound judgments on a day-to-day basis regarding assigned and ad-hoc duties with very limited, or absence of, direction from the executive.
  • Ability to partner with the executive to understand nuances, appropriate protocol and specific preferences of the executive on the level of support required/expected.
  • Ability to follow complex written and verbal instruction.
  • Strong interpersonal skills required to persuade and build consensus and cooperation.
  • Ability to work under time constraints and be available, as needed.
  • Ability to handle the highest level of confidential issues with the utmost sensitivity.
  • Budgeting, interviewing and training experience preferred.

Essential Job Requirements:
  • Primarily sedentary.
  • Must be able to use standard office equipment.
